The Business Visa Mistakes Indian Entrepreneurs Keep Making

Vikram Mehta · January 8, 2026 · 5 min

I specialize in business visas for Indian entrepreneurs — mostly people travelling to Europe and the UK for conferences, client meetings, or trade shows. The profile is usually strong: successful business, good financials, clear purpose. And yet, about 15% of first-time applicants from India get rejected.

Here's why.

Mistake 1: Invitation Letter Mismatch

The most common issue. The invitation letter from the European company says "business meeting" but the cover letter says "attending conference." Or the invitation mentions a 3-day visit but the applicant booked flights for 10 days. Consulates catch these inconsistencies instantly.

Before I submit anything, I cross-reference every date, every purpose statement, and every company name across all documents. It takes 20 minutes. It prevents 80% of rejections.

Mistake 2: Mixing Business and Tourism

Indian entrepreneurs love efficiency. "I'm going to Frankfurt for a meeting, so I'll also visit Paris for the weekend." That's fine — but you need to declare it properly. A business visa with hidden tourism plans is a red flag. Better to be upfront: "3 days business in Frankfurt, 2 days personal travel in Paris." Consulates respect honesty.

Mistake 3: Company Documentation

Many Indian companies — especially startups — don't have clean documentation. No letterhead, inconsistent registration details, or a company address that doesn't match the GST certificate. These things matter.

I now send every business client a pre-application checklist specific to their company type (sole proprietor, Pvt Ltd, LLP, partnership). Getting the company docs right before touching the personal docs saves everyone time.

What I Tell Every Client

Your business might be worth crores, but the consulate officer has 3 minutes to review your file. Make those 3 minutes count. Clean documents, clear purpose, zero contradictions.
