I Run Operations at a Travel Tech Company. Here's My Honest Take on Automation.

I'll be straight with you: automation in travel documentation is oversold. Not by us specifically — by the industry as a whole. Every pitch deck promises "end-to-end automation" and "zero manual intervention." Having built and operated these systems for three years, I can tell you that's not the full picture.

What Automation Does Well

Data collection and formatting. When an agency submits client information, the system automatically formats it into embassy-specific templates. Name ordering, date formats, address structuring — this used to take 30-45 minutes per application. Now it takes seconds.

Document consistency checks. Does the passport expiry date match across all documents? Is the salary mentioned in the cover letter consistent with the bank statement? These cross-checks are tedious for humans and perfect for machines.

Itinerary generation. Our system pulls live event data, checks hotel availability, and builds realistic day-by-day plans. This is legitimately faster and more accurate than manual research.

What Automation Doesn't Do Well

Judgment calls. Should we include this client's previous rejection in the cover letter or not mention it? Is this bank balance sufficient given the client's employment history? These are nuanced decisions that require experience.

Embassy relationship context. I know that the visa officer at window 3 of the Italian consulate in Dubai prefers applications with hotel bookings from specific aggregators. No system captures that.

Emotional intelligence. When an agency partner calls because their client's visa was rejected two days before their wedding anniversary trip, the right response isn't a chatbot.

Where We've Landed

At TravelDocx, we automate the 80% that should be automated. The other 20% — the judgment, the relationships, the edge cases — that's where our team earns their keep.
